Administrative Officer

SOS Children’s Villages Palestine is searching for:

Position Title: Administrative Officer.

Working Location: National Office – Bethlehem

Status: Full Time.

Contract Type: Unlimited Contract.

 

 
Mission of the position:

The Administrative Officer is responsible for the efficient day-to-day operations by providing administrative, logistical, procurement and maintenance support to the National Office and locations. The Administrative Officer leads a team of NO Secretary, Logistics assistant/driver and general services/housekeeper.

Main clients:
  • National Director
  • National Office Staff
  • CVPD’s.
  • External partners and suppliers.
Key performance areas and main responsibilities:

Ensures the smooth flow of correspondence and communication

  • Works closely with the National Director to ensure the smooth flow of communication;
  • Supports the National Director with formal visits and events;
  • Coordinates official visits to the National Office;
  • In collaboration with HR, Supports NO team with Visa Applications.


Provides administrative and secretarial support

  • Answers all routine correspondence independently. Deals with more complex matters in cooperation with relevant senior co-workers;
  • Records, compiles, transcribes and distributes meeting minutes for NMT Meetings and as requested by ND;
  • Keeps up-to-date files and records of National Director Office in terms of meetings, official correspondence, official agreements, and MOU’s.

General Administration

·        Responsible for housekeeping of national office

·        Responsible for NO vehicle use and fleet management

·        Responsible for asset tagging and inventory

·        Manages Petty Cash

Procurement

  • Responsible for updating and implementing the procurement policy.
  • Train respective staff in National Office and Programme Locations on procurement policy.
  • Ensures procurement policy is followed in programme locations.
  • Ensure the procurement processes are executed with the highest standards of business integrity and in compliance with local authorities’ rules and regulations, and in compliance with the procurement policy.
  • Work with the NMT to establish a procurement plan at the beginning of each project year.
  • Ensure filing and documentation of procurement procedures

Maintenance & housekeeping

  • Coordinates maintenance of national office;
  • Acts as maintenance focal point for IOR

·        In collaboration with the CVP Directors, will facilitate and support in identifying maintenance needs.

  • Lead and facilitate the maintenance cycle and implementation of major maintenance/ construction projects.

·        Responsible for the overall quality management and cost follow-up of the organization facilities’ maintenance

Child Safeguarding (CS)

  • Responsible within own area of work to raise awareness of the SOS Child Protection Policy principles and to prevent and protect children from all forms of abuse, abandonment, exploitation, violence and discrimination
  • Responsible to report any CS suspicion, concern, allegation or incident immediately, following Child Safeguarding reporting procedures. CS reports should be made to the IOR CS focal person and/or to the respective line manager.

    Qualifications and Competencies for the position:

 

     Must Criteria:

  • Bachelor in Business Administration or related field.
  • Minimum 2-3 years relevant experience.
  • Excellent oral and written communication skills in English and Arabic.
  • Good communications skills.
  • Excellent computer and Microsoft office skills (Word, Excel and Power point).
  • Knowledge of office policies and procedures

  • Efficient in time and resource management, ability to work under high pressure
